Abstract - The fitness sector’s swift move toward digital integration has made smart management systems a necessity rather than a luxury. Conventional gym operations often struggle with manual data entry errors, redundant record-keeping, and an inability to scale effectively as the business grows. To address these challenges, this paper presents FitTrack CRM, a comprehensive, multi-role web ecosystem built on a PHP and MySQL foundation. By utilizing Role-Based Access Control (RBAC) alongside AI-driven automation, the platform streamlines administrative tasks and deepens member involvement. The system is partitioned into specialized interfaces for Administrators, Staff, and Members, each tailored to simplify specific operational workflows. Our findings indicate that by blending predictive analytics and automated processes, fitness centers can significantly boost member retention rates and overall commercial growth.
